- Homeowners: Full name, email address, phone number, city or postal code, type of trade or service needed, and a description of your project
- Contractors: Business name, owner name, email address, phone number, and service areas covered
- Automatically collected: IP address, browser type, device type, pages visited, and referring URLs via cookies and standard web server logs
We collect only the information reasonably necessary to operate our service. You are not required to submit information, but without it we cannot match you with contractors or connect you with leads.
2. Why We Collect It
Personal information is collected for the following purposes:
- To match homeowners with qualified local contractors for the requested service
- To send homeowners notifications about quotes and contractor responses
- To notify contractors of new leads in their service area and trade category
- To communicate with you about your account or service requests
- To improve the functionality and performance of our platform
- To detect and prevent fraudulent, abusive, or prohibited activity
- To comply with applicable legal obligations
3. How We Use and Share Your Information
HomeProHub does not sell, rent, or trade your personal information to any third party for their own marketing purposes.
Your information is shared only as follows:
- Homeowner information (name, phone, email, city, project details) is shared with the specific contractor(s) matched to your quote request. By submitting a request, you consent to this disclosure.
- Contractor information (business name, contact details, service areas) is used internally for lead matching and outreach. It is not published publicly without consent.
- Service providers: We share limited data with trusted third-party vendors who help us operate the platform (see Section 8). These providers are contractually bound to handle data securely and only for the purpose of providing services to us.
- Legal requirements: We may disclose information where required by law, court order, or governmental authority.
4. How We Protect Your Information
HomeProHub takes reasonable technical and administrative steps to protect your personal information, including:
- SSL/TLS encryption for all data transmitted through the website
- Encrypted storage for personal data at rest
- Access restricted to authorised personnel only, on a need-to-know basis
- Regular review of our security practices and systems
No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If a data breach occurs that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA.
5. Contractor Data
Contractors who register with HomeProHub provide business and contact information for the purpose of receiving leads. This includes business name, owner or contact name, email address, phone number, trade categories, and geographic service areas.
This information is used to:
- Match contractors with relevant homeowner quote requests
- Send lead notifications via email and/or SMS
- Maintain your contractor account and credit balance
- Contact you regarding platform updates, policy changes, or account issues

6. Cookies and Analytics
HomeProHub uses cookies and similar tracking technologies to operate and improve the platform. Cookies may be used to:
- Remember your session and preferences
- Track basic usage statistics (pages visited, time on site, referral source)
- Detect and prevent fraudulent form submissions
We use basic analytics to understand how visitors use our site. This data is aggregated and does not identify individual users. You may disable cookies in your browser settings; however, doing so may affect the functionality of the site.
We do not use third-party advertising cookies or cross-site tracking technologies.
7. Your Rights Under PIPEDA
As an individual whose personal information we hold, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that inaccurate or incomplete information be corrected
- Deletion: Request that your personal information be deleted, subject to any legal retention obligations
- Withdraw consent: Withdraw consent to our use of your information at any time (note this may affect your ability to use the service)

8. Third-Party Service Providers
We use the following trusted service providers to help operate HomeProHub:
- Brevo (formerly Sendinblue): Used to send transactional and notification emails. Brevo is GDPR and PIPEDA compliant. Data processed: email address and message content.
- Twilio: Used to send SMS lead notifications to contractors. Twilio is GDPR and PIPEDA compliant. Data processed: phone number and message content.
All third-party providers are required to handle your data in accordance with applicable privacy law and are prohibited from using it for any other purpose.
9. Data Retention
We retain personal information only as long as necessary for the purposes described in this policy:
- Homeowner lead data (name, contact info, project details) is retained for up to 2 years from the date of submission, after which it is securely deleted.
- Contractor account data for inactive accounts (no activity or login for 12 months) is deleted after 1 year of inactivity, unless retention is required by law.
- Server logs and IP data are retained for a reasonable period for security and troubleshooting purposes, and are not used for marketing.
10. Children's Privacy
HomeProHub is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has submitted information through our platform, we will delete it promptly.
11. Changes to This Policy
HomeProHub may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of the platform after changes are posted constitutes your acceptance of the revised policy.
We encourage you to review this policy periodically.
12. Governing Law
This Privacy Policy is governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, including PIPEDA. Any disputes related to privacy shall be resolved in the courts of Ontario or through the Office of the Privacy Commissioner of Canada.
